Use AI to Write Customer Emails in Your Own Voice: A 20-Minute Setup

By Constantin · 2026-10-28 · 3 min read

Most small businesses send the same dozen emails over and over: quotes, follow-ups, booking confirmations, "thanks for your enquiry", gentle nudges. Writing each one from scratch is a quiet time sink. AI can draft them in seconds, but only if you set it up properly once.

This guide takes about 20 minutes and works with ChatGPT, Claude or similar assistants.

Step 1: Collect five of your best emails

Find five emails you have sent that you are happy with. Pick a mix: a quote, a follow-up, a reply to a complaint, a booking confirmation, a thank-you. Remove customer names, addresses and anything private.

Step 2: Write a short "how we write" note

Answer these in a few lines each:

Step 3: Save it as a project or custom instructions

Most AI assistants let you save standing instructions so you do not repeat yourself:

Add one line at the end: "When I give you a situation, draft an email in this style. Keep it under 150 words unless I say otherwise."

Step 4: Draft emails from short prompts

Now each email starts with one line from you:

You get a draft in your voice. Edit, then send.

Step 5: Keep it safe

AI assistants are useful, but treat them like any outside service:

Step 6: Turn the best drafts into templates

When a draft works well, save it as a template in your email tool. Over a month you will build a library that covers most of your everyday emails, and the AI handles the unusual ones.

When to go further

If you send dozens of similar emails a day, or the information already sits in a system such as a CRM, booking tool or spreadsheet, a small custom automation can draft or even send them for you. That is where a done-for-you build starts to pay off.

If the same admin task eats hours every week, a small custom AI workflow can usually take most of it away. You describe the problem; a specialist team scopes and builds it.
