How to End the Month-End Receipt Hunt for Good
If month end means emptying wallets, scrolling through emails for PDF receipts and asking the team "what was this £48 for?", the problem is not the receipts. It is the timing. Receipts get lost because they are dealt with weeks after the purchase.
The fix is to capture each receipt at the moment money is spent.
Why it matters
Your records need to show what you spent and why, and HMRC expects businesses to keep records for several years. Missing receipts mean either claiming less than you could, or spending hours reconstructing the paper trail. GOV.UK sets out the record-keeping rules for sole traders and limited companies.
Step 1: One rule for the whole team
Make it simple: "Photo the receipt before you leave the till." Not later, not at the end of the week. The habit matters more than the tool.
Step 2: Give each spender their own card
Shared cards are the main cause of mystery transactions. When each person has their own card or virtual card:
- Every transaction is linked to a person.
- You can set limits per person or per category.
- Spending appears as it happens, not at the end of the month.
Many business bank accounts and expense tools offer extra cards, often with spending controls.
Step 3: Capture receipts in an app
Most expense apps and accounting tools let you photo a receipt and match it to the card transaction automatically. Look for:
- Receipt capture by photo and by email forwarding (for online purchases).
- Automatic matching to card transactions.
- Reminders to people who have transactions with no receipt.
- Sync with your accounting software, so the bookkeeping is done when the receipt is captured.
Step 4: Set up an email inbox for receipts
For online subscriptions and purchases, create one address such as receipts@yourbusiness, and set each supplier account to send invoices there. Many accounting tools give you a forwarding address that pulls receipts straight in.
Step 5: A ten-minute weekly check
Once a week, look for transactions without a receipt and chase them while people still remember. Ten minutes a week replaces a lost afternoon at month end.
Where AI helps
Receipt-capture tools increasingly use AI to read the supplier, date, amount and VAT from a photo. You can also ask an AI assistant to help write a short expenses policy for your team. Ask it for "a one-page expenses policy for a 10-person UK business, covering limits, receipts and approvals", then edit it to fit.
The short version
- Photo the receipt at the till.
- One card per spender, with limits.
- Let an app match receipts to transactions and sync to your books.
- Check for gaps weekly, not monthly.
Your next step
Receipts and expenses are chaos?
Shared company cards and paper receipts create hours of month-end reconciliation. Expense cards that capture receipts at the point of purchase remove most of it.
